This guide is aimed at anyone who needs to add, edit or view qualifications on an operative's profile. All of the following sections start from the qualification tab of an operative's profile within the User tool.
Adding a new qualification
Under the list of qualifications currently on the operative's profile, there is an "Add another" button. Clicking this button will take you through the process to add a new qualification.
To start, you choose a qualification from the list of qualifications shown. The search box on that page can be used to easily find the qualification you need. e.g. searching for "CSCS trainee" will list all qualifications that match the search text entered. Qualifications that support automatic verification are highlighted with a green "Auto-verifiable" box next to their name.
Once selected, you will be prompted to add the card number for that qualification. If the qualification supports it, and CSCS Smart Check is enabled on your portal, the system will download the details of that card from CSCS directly, including the expiry date, and marked the qualification as automatically verified.
From here, you may also be required to go to the evidence tab and upload evidence that the operative holds this qualification, commonly a scan of the relevant document.
Once ready, click "Add qualification" and then save the operative's profile.
Editing a qualification
To edit a qualification already assigned to an operative, click the name of the qualification in the list.
From here you can update the card number, expiry date, and manage the evidence uploaded against this qualification.
Users with the "Manage qualification verification" can also manage the verification status of a qualification from this page.
Managing evidence
When editing a qualification, navigating to the "Evidence" tab will show all documents uploaded against this qualification. Clicking on a document name will allow you to download or delete that document. If the document is an image, a preview of that document will also be shown.
Adding a qualification via a competency rule
If there are competency rules configured against smart fields, you also have the option to upload a qualification from the field itself. When uploading a qualification in this way, the process is similar to above, but the table is pre-filtered to only show qualifications that would satisfy the configured competency rule.
